OUR COMMITMENT
The Lighthouse Community Centre Society (herein referred to as LCCS) operates according to these core principles:
- Inclusivity: Providing accessible and broad-based recreation for the entire community
- Balance: Supporting a diverse range of demographics and activities by balancing Society programs with public rentals
- Fairness: Ensuring equitable access through transparent reservation processes and fair allocation of peak period timeslots
The LCCS reserves the right to decline any rental request at its sole discretion and without providing a reason. In exercising this right, the Society remains committed to its core principles of inclusivity, balance, and fairness, ensuring that the hall remains a safe and accessible place that serves the best interests of the entire community.
1. Booking Periods:
For the purposes of renting the hall, the year will be divided into three booking periods:
Period 1: January 1st to April 30th
Public renters will be able to book the hall from the first Monday in October, after LCCS community programs have been finalized.
Period 2: May 1st to August 31st
Public renters will be able to book the hall from the first Monday in February, after LCCS community programs have been finalized.
Period 3: September 1st to December 31st
Public renters will be able to book the hall from the first Monday in June, after LCCS community programs have been finalized.
2. LCCS Community Programs:
Core Activities: Those operated or sponsored by the LCCS, such as community dances, Second Sunday Markets, Pancake Breakfasts, and include LCCS Board meetings.
RDN Recreation Programs: Structured activities delivered under the Recreation Service Agreement between the LCCS and the Regional District of Nanaimo (RDN).
These programs typically include:
• Structured Sporting Activities, such as Pickleball.
• Youth and After-School Activities such as Summer Break Day Camps.
• Health and Fitness Classes, such as Essentrics and Chair Yoga.
• Art and Culture Programs, such as Drama groups.
3. Long-Range Planning Exceptions: The following event types are exempt from the 4-month booking window and may be reserved up to 18 months in advance:
• Government Mandated Events: These include Federal, Provincial or Municipal elections and referendums, serving as an official polling station, or use of the hall for Emergency Response (such as an Emergency Reception Centre), as coordinated by the RDN or the Province.
• Annual LCCS and Community Events: High impact annual events such as the Fall Fair, Route 19A, Christmas Markets, etc.
• Major Private Celebrations: Events requiring significant planning and coordination, for example Weddings, Anniversaries, Family Reunions, etc.
• Other Events: Any other events that the LCCS Board, in its sole discretion, deems eligible for an exception.
4. Event Classification:
Public Events: Any event where the general public is invited, and tickets or entry can be sold to walk-ins ‘at the door’. These typically require higher levels of permitting and insurance.
Private events: These are ‘invitation only’ functions where entry is limited to specific guests, or members of an organization, whether on payment or otherwise.
5. Cancellation: The LCCS reserves the right to cancel or relocate any booking if the space is required for an emergency, a Federal, Provincial, or Municipal election, a major private celebration, or any other event that, in the Board’s sole and absolute discretion, acting reasonably, results in a cancellation. In the rare event that a booking is cancelled or rescheduled, the LCCS will provide as much notice as possible, and the renter will be entitled to a full refund of all fees and deposits paid. The LCCS is not responsible for any further costs or losses incurred by the renter following such a cancellation.
